These Terms of Service (“Terms”) govern all bookings and use of our game experiences, including single sessions, game bundles, and custom packages. By making a booking or submitting payment, you agree to these Terms.

1. Booking & Payment

• Participants must have access to a device with internet, audio, and video capabilities.
• All are in USD and are exclusive of applicable taxes unless stated.
• Bookings are confirmed upon payment via credit card, e-transfer, wire transfer, ACH, or other pre-approved corporate payment options.
• Invoices must be paid in full by the due date listed.
• Pricing varies based on participant tier and package type and is confirmed via quote or invoice.

2. Cancellations & Rescheduling

We understand that schedules change. Our policies balance flexibility with operational needs:

Single-session bookings:

• More than 5 business days notice: free reschedule; full refund for cancellation
• 3-5 business days notice: 50% rescheduling fee; 50% refund for cancellation
• Less than 3 business days notice / no-show: session counted as used; no reschedule or refund

Bundled packages:
See Section 5 for additional terms related to bundled packages.

• Sessions must be used within 12 months of purchase.

• Rescheduling follows the same timeline as single sessions.

• Sessions missed without sufficient notice are counted as used.

General:

• Reschedules are subject to availability.

• Requests must be submitted via the booking portal or email to info@escapefromthemeeting.com.

3. Use & Access

• Your game session includes a private game access link and additional online game materials. These are for your team’s one-time use only.
• Sharing access outside your company or reusing the game without written permission is prohibited.
• Participants are expected to behave professionally and respectfully.
• Escape From The Meeting reserves the right to terminate participation for inappropriate behavior without refund.
• Recording sessions is prohibited unless explicitly authorized.

All Escape From The Meeting materials are owned by us and may not be modified, distributed, or reused commercially.

4. Privacy

• We collect and store personal information required to facilitate bookings and participation.
• Data will not be shared with third parties except as necessary for service delivery or legal obligations.

5. Bundled Packages 

These additional terms apply to Quarterly Experience Bundles and Annual Culture Passes:

A. What’s Included

• Quarterly Bundle: 1 game per quarter (4 games total)
• Annual Culture Pass: 1 game per month (12 games total)

B. Validity

• All bundles must be used within 12 months of purchase.
• Games do not roll over into the next year.

C. Scheduling

Your game will be scheduled in one of two ways, depending on your subscription package:

Option 1: Self-Scheduling (Quarterly Experience Bundles)
We will provide private booking codes or credits allowing your team to book directly online at your convenience.

Option 2: Scheduling Concierge (Annual Culture Pass)
We’ll coordinate your dates by email or planning call and manually book them for you.

D. Participants

• Your bundle covers up to a certain number of players (e.g. 25, 50, 100).
• If a scheduled game exceeds the participant tier purchased, overage fees may apply.

6. Custom Packages

Custom games or high-volume subscriptions may be governed by additional scope of work terms outlined in your quote or invoice. These Terms still apply unless otherwise agreed in writing.

7. Modifications

We may occasionally update these Terms. Any changes will be posted on this page and take effect immediately for new bookings.
